Defining Supplier/ Customer Level Inspection Parameters

In managing incoming shipments from suppliers and customers, we have the flexibility to establish inspection percentages that determine the mandatory number of boxes requiring inspection and the percentage of items needing Quality Control (QC) pass for gate entry approval. These values for customers and suppliers can be tailored, considering factors like trust levels or past shipment accuracy. This practical and trust-oriented approach allows for the customization of sampling percentages, enhancing efficiency in the box-wise inwards process without undermining the accuracy of inwards.

Some inspection parameters can be defined against the Supplier/ Customer. The value for Inspection parameters can be set during creation of Supplier/ Customer or Updation of Supplier/ Customer information.

For the Inward boxes with purpose STORAGE, a configuration Storage Inspection Required can be set at the Customer/ Supplier level which determines whether the existing process of piece-wise GRN and inward will be followed or the box-wise inwards workflow will be followed.

For the Inward boxes with purpose CROSS_DOCK, the box-wise inwards workflow will always be followed. There is no option to choose between box-wise inwards workflow and existing process of piece-wise GRN workflow.

If the user decides to enable Storage Inspection, then the ASN is expected mandatorily.

Below are the parameters that can be set at the Customer/ Supplier level during the creation and updation of Customers/ Supplier at OMS:

  1. Storage Inspection Required

    • Field Storage Inspection Required indicates if the sample QC/ Inspection is allowed for the inwards provided by the specific partner(Supplier/Customer). This flag controls only for STORAGE purpose inward boxes, this configuration will not affect Cross Dock boxes inwards.

    • The default value of this field is FALSE. If the value is FALSE, the existing process of piece-wise GRN and inward will be followed.

    • If the value set is TRUE, the box inwards workflow will be followed. This would include steps like inspection (optional), and approval.

    • If Is ASN Expected for the Supplier/ Customer is FALSE the value of Storage Inspection Required will also be mandatorily set to FALSE by default.

  2. Min Storage Inspect Percent

    • Field Min Storage Inspect Percent indicates the minimum percentage of storage items received in the inwards that need to be inspected. Eg, If the count of storage type items received is 100 and if we have to inspect at least 15 items, then the value of this field is set to 15 percent.

    • In case Storage Inspection Required is set as FALSE, then this field will not be applicable.

    • In case Storage Inspection Required is set as TRUE, the value of this field can be set between 0 to 100. Eg, If the value is 0, then the inspection process is not required, it should be auto/ manually approved. If the value is 100, then all boxes need to be inspected.

  3. Min Storage Inspect Pass Percent

    • Field Min Storage Inspect Pass Percent indicates the minimum percentage of storage items received in the inwards that need to QC pass after inspecting the required number of storage items.

    • Here value set for Min Storage Inspect Pass Percent should be less than or equal to Min Storage Inspect Percent. Eg, If the count of storage type items received is 100 and if we have to inspect at least 15 items and 5 should be QC pass, then the value of this field is set to 5 percent. Here, it is mandatory to inspect all 15 items.

    • In case the Storage Inspection Required is chosen as FALSE, then this field will not be applicable.

    • In case the Storage Inspection Required is chosen as TRUE, the value of this field can be set between 0 to 100. If the value is 0, then the inspection process is not required, it should be auto/ manually approved.

  4. Min Cross Dock Inspect Percent

    • Field Min Cross Dock Inspect Percent indicates the minimum percentage of crossdock items received in the inwards that need to be inspected. Eg, If the count of storage type items received is 100 and if we have to inspect at least 15 items, then the value of this field is 15 percent.

    • It’s an optional field

    • The default value of this field is 50. The value of this field can be set between 0 to 100.

  5. Min Cross Dock Inspect Pass Percent

    • Field Min Cross Dock Inspect Pass Percent indicates the minimum percentage of crossdock items received in the inwards that need to QC pass after inspecting the required number of storage items.

    • It’s an optional field

    • Here Min Cross Dock Inspect Pass Percent should be set less than or equal to Min Cross Dock Inspect Percent. Eg, If the count of crossdock type items received is 100 and if we have to inspect at least 15 items and 5 should be QC pass, then the value of this field is set as 5 percent. Here, it is mandatory to inspect all 15 items.

    • The default value of this field is 50. The value of this field can be between 0 to 100.

Min Storage Inspect Pass Percent field value will be applicable only after Min Storage Inspect Percent is crossed / reached. Inspecting the specified Min Storage Inspect Percent of items is mandatory before assessing the QC pass items against the Min Storage Inspect Pass Percent.

Similarly, the Min Cross Dock Inspect Pass Percent field value comes into play after the Min Cross Dock Inspect Percent threshold is reached. Inspecting the specified Min Cross Dock Inspect Percent of items is mandatory before assessing the QC pass items against the Min Cross Dock Inspect Pass Percent.

Steps to set Inspection Parameters while creating new Supplier/ Customer

  1. Go to OMS->Master Settings.

  2. Click on Customers to set the Customer inspection Parameters and Suppliers to set the Supplier Inspection Parameters.

  3. Select Client. Then Click on the Add Supplier/ Add Customer button.

  4. Enter the new Supplier/ Customer details along with Inspection parameters as per the description shared in this document.

  5. Click on the Submit button.

Steps to set Inspection Parameters while creating new Supplier/ Customer

  1. Go to OMS->Master Settings.

  2. Click on Customers to update the Customer inspection Parameters and Suppliers to update the Supplier Inspection Parameters.

  3. Select Client and Supplier/ Customer.

  4. Click on Edit Icon

  5. Update the required inspection parameters

  6. Click on the Submit button

FAQs

What happens if the user tries setting the value of Min Storage Inspect Pass Percent>Min Storage Inspect Percent or Min Cross Dock Inspect Percent> Min Cross Dock Inspect Percent?

In this case, the user will get a warning message “Storage: Inspection Pass percent should not be greater than Sample Inspect percent“. Hence, the system validates and restricts the same.

Can a user set the Min Storage Inspect Percent and Min Storage Inspect Pass Percent when the Storage Inspection Required is selected as FALSE?

No, the Min Storage Inspect Percent and Min Storage Inspect Pass Percent fields will get disabled if Storage Inspection Required is selected as FALSE.
